Fitness HQ Limited (“we”, “us”, “our”), trading as Plus Fitness UK, is the data controller for personal information collected through this website and in connection with Plus Fitness clubs in the United Kingdom.

2.What this policy covers

This policy explains how we collect, use and share personal information when you:

• enquire about or apply for a Plus Fitness franchise
• join, use or enquire about a Plus Fitness gym membership
• use www.plusfitness.co.uk
• deal with us as a supplier, landlord, adviser or other business contact

Club operations use ClubWise as our membership and payment platform. ClubWise acts as our data processor. Each club and Fitness HQ Limited act as data controllers for member data for which they determine the purpose.

We may share aggregated club-level information (for example total members, total visits or total revenue) with Plus Fitness Australia and Viva Leisure for reporting and brand support. We do not share individual member profiles with them through this website. Any further access would only be under a written arrangement that meets UK data protection law.

3.Information we collect

Franchise enquiries and applications
Name, contact details, financial and background information you submit, correspondence, and information needed to assess suitability for a franchise.

Memberships and club use
Name, date of birth, contact details, membership type, payment details (processed by ClubWise and its payment providers), access records, class or PT bookings, correspondence, CCTV images on site, and health information you choose to give us (for example injury notes or emergency contacts).

Website
Technical data such as IP address, device and browser type, pages viewed, and cookies as described in our Cookie Policy.

4.How we use your information

We use personal information to:

• respond to franchise and membership enquiries
• assess and progress franchise applications
• set up and administer memberships, access and payments
• provide customer service and handle complaints
• operate 24/7 access, security and CCTV
• send service messages about your membership or enquiry
• send marketing where you have consented, or where we may do so under soft opt-in rules, with a clear right to opt out
• meet legal, accounting, insurance and regulatory duties
• improve the website and our services

Lawful bases include performance of a contract, taking steps at your request before a contract, legitimate interests (running a safe gym, assessing franchise applicants, improving services), consent where we ask for it, and legal obligation. Health information is used only where you have provided it and we have an appropriate condition under UK data protection law.

5.Who we share information with

We share information only where needed:

• ClubWise and its payment providers, as processors, to run memberships, access and payments
• professional advisers, including Ashtons Franchise Consultancy and Ashtons Legal LLP, where they assist with a franchise enquiry or legal matter
• contractors who help us operate clubs (for example access control or CCTV maintenance), under contract
• insurers, banks and finance providers where required for a membership, franchise or site
• the landlord or building manager where required for access, fire or security
• Plus Fitness Australia and Viva Leisure, limited to aggregated club-level information as described in section 2, unless a separate lawful arrangement is in place
• regulators, courts or police where we are required or permitted by law

We do not sell personal information.

6.International transfers

If a supplier processes information outside the UK, we will only do so with an appropriate safeguard (for example the UK International Data Transfer Agreement or UK Addendum) or another lawful mechanism.

7.How long we keep information

We keep franchise enquiry records for as long as needed to assess the opportunity and for a reasonable period afterwards.

We keep member records for the life of the membership and for a limited period after it ends, as required for accounting, insurance and legal claims.

CCTV is retained only for a short security period unless an incident requires longer retention.

Website logs are kept for a short operational period.

8.Your rights

You may ask us to access, correct, delete or restrict your information, object to certain processing, withdraw consent, or receive a copy of information you provided to us.

You may complain to the Information Commissioner’s Office at ico.org.uk.

9.Children

Our clubs and franchise offering are not directed at children. We do not knowingly collect personal information from under-16s through this website.

10.Changes

We may update this policy. The current version will be published on this website.
